Immediate Changes to the Document Management System

We are notifying all Document Management System (DMS) users of some changes that will go into effect this Friday, September 12, 2014. The most significant difference you will notice in DMS will be the renaming of the “Document Status” column to “Sec Doc.”
Sec Doc Column
The Sec Doc column will only be used by the Freddie Mac Multifamily Records department to determine whether the document will be included with the delivery of documents at the time of securitization. You will either see a “Yes” or “No” in the Sec Doc column.
As a result of this change, you will no longer have access to the Document Description menu, which you previously used to indicate the custody type of the document. This will mean that you will be unable to edit the Sec Doc column and that you will no longer be required to include one of the following document descriptions in DMS:
- Executed – Original
- Executed – Copy
- Executed – Certified Copy
- Recorded Original
- Recorded Copy
- Electronically Filed
The Freddie Mac Multifamily Records department will now add document descriptions indicating custody in the "Collateral File" section of DMS.
If you have a document delete request, please include it in the “Title” column, and not in the “Comments” column. You should simply type “Delete Request” followed by the document title, but without the name of the document.
We welcome the information you provide in the Comments section, but ask that you not delete any comments already in that space. You should type your comments directly after the last comment.
